How to use the rent invoice generator

Put your name (or your management company) in the landlord block and the tenant’s full name in the tenant block – if two people signed the lease, list both. Enter the property address including the unit number and the rental period, for example “October 2026” or “1–31 Oct 2026”. The rent goes on the first charge line; add utilities, parking or pet rent as separate lines so the tenant sees exactly what they are paying for.

If the rent is overdue and your lease provides for a late fee, enter it in the Late fee field. It is added after any tax, as a separate line, so it is never mixed into the rent amount. When the tenant has paid, tick “Rent has been paid”: the title changes to Rent Receipt, the total becomes “Amount paid” and a PAID stamp appears. Fill in the payment method (cash, check number, bank transfer) and download the PDF for the tenant’s records.

What a rent invoice or receipt should include

A rent invoice needs the landlord’s name and contact details, the tenant’s name, the full property address, the period the rent covers, the amount due, the due date and how to pay. A rent receipt additionally states the date the payment was received, the amount received, the method of payment and who received it. Keep a copy of every receipt: it is your proof of income and the tenant’s proof of payment.

In the US, receipt rules are set by state and city. Several states require a written receipt when rent is paid in cash or on request – New York and California are examples – and many local ordinances follow. When in doubt, issue one; it costs nothing. In the UK, there is no general statutory duty to issue rent receipts in England and Wales, but tenants paying cash are entitled to ask for one and it is good practice to provide it. Residential rent is exempt from VAT, so the tax rate normally stays at 0.

Is this a rent invoice or a rent receipt?

Both. Leave the checkbox off for an invoice (money owed). Tick “Rent has been paid” to turn the same document into a rent receipt with a PAID stamp and “Amount paid” instead of “Amount due”.

Can I bill several months at once?

Yes. Add one charge line per month, e.g. “Rent – October 2026” and “Rent – November 2026”, and set the rental period to the full span.

How do I add a late fee?

Enter the amount in the Late fee field under Totals. It appears as a separate line after tax. Check your lease and local law first – many places cap late fees or require a grace period.

Do I need to charge tax on rent?

Residential rent is usually not taxed: it is VAT-exempt in the UK and not subject to sales tax in the US. Commercial rent can be different (VAT if you opted to tax in the UK; some US states tax commercial leases). Leave the rate at 0 unless you know otherwise.

Can the tenant see my bank details?

Only if you type them into the “Pay to” field. Whatever you enter is embedded in the PDF you download and remembered on this device for next time; it is never sent to a server.
